Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Data Collected to Manage Your Membership

When you sign up, we will collect your name, gender, college, email address, username, and password. This information is used to setup your account for our site. 

When logged in, we use cookies to track some of your activity on our site including logins, visits, and page views.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

  • Administer your involvement in athletics and running;
  • To notify you about important updates and information about LUCA and our events;
  • To deal with your requests and enquiries;
  • To contact you for reasons related to your enquiry;
  • To use your IP address to monitor traffic and gather browsing behaviours of visitors to our websites. We will not use your IP address to identify you in any way;
  • To create meaningful, actionable analysis on an annoymised basis.

We may publish your Personal Information as part of the results of our events and may pass such information to the governing body or any affiliated organisation for the purpose of insurance, licences or for publishing results either for the event alone or combined with or compared to other events. Results may include (but not be limited to) name, any club affiliation, race times, occupation and age category.

Our legal basis for processing your information

LUCA’s key purpose is to promote the sport of athletics among higher-education establishments in London and the surrounding areas. Therefore, we will process data on the basis of legitimate interest of administering your involvement in the sport of athletics and running and to ensure the sport is running itself efficiently, with the minimum of bureaucracy and volunteer time. 

 

Who we share your data with

If you become a LUCA registered athlete, club official or volunteer, we may share your data with the following bodies as part of the administration of your involvement in LUCA and for the purposes of delivering the tasks outlined above;

  • UK Athletics;
  • Other home country athletics organisations – England, Wales, Scotland and Northern Ireland;
  • County officials secretaries;
  • Third part data managers who support LUCA in managing the sport.

How long we retain your data

We will hold your personal data on file for as long as you are registered with us. Any personal data we hold on you will be securely destroyed after four years of inactivity on that member’s account, in line with England Athletics Limited’s retention policy. Your data is not processed for any further purposes other than those detailed in this policy.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
